Booking Terms

Please take your time to read the Visa Expeditions Terms and Conditions following before making any booking with us, so you are aware of the ‘rules of the game’.

Booking your holiday

Changes in the itinerary – Our holidays are planned many months in advance, it is therefore possible that some arrangements may have to be changed and we reserve the right to at any time.

Underage travelers – Bookings can only be accepted for persons under eighteen years of age when accompanied by an adult who will be responsible for them.

Accommodation – In the unlikely event of accommodation not being available on arrival at a hotel/campsite described and/or confirmed to the clients, Visa Expeditions undertakes to provide alternative accommodation in a hotel/campsite of categories at least as high as those contracted, if available.

Travel documents –You should ensure that you have all the travel documents including passports, visas and vaccination certificates (if needed) before your departure date. This also includes adequate travel and medical insurance. For any vaccination, for example the yellow fever vaccination, consult your physician or travel health specialist for the proper prescription. It is your sole responsibility to obtain appropriate medical advice as to medication, immunization, and whether or not you are fit enough to undertake the trip, prior to departure. Visa Expeditions will not be responsible for any disruption to your travel plans caused as result of a failure to do this.

Travel insurance – All clients must take out their own adequate travel insurance and copies must be given to the tour guide upon initial meeting. The insurance must take into account the nature of the holiday and client must specify to their insurance company if they intend climbing, trekking, diving etc. The policy should also have repatriation cover in the event of serious accident.

Deposit & Payments for your holiday

Deposits – A 50% deposit is required to secure a booking. This deposit forms part of the payment for the trip and shall be offset to the total amount charged to the client/agent.

All bank charges are to be settled by the client or agent respectively. This includes transaction fees charged by our bank.The amount shown on the invoice, is the amount that needs to reflect in our account and should bank charges have been deducted, we would have to invoice you subsequently.

Late Payment – If the balance due is not paid at least four (4) weeks prior to departure, the Company reserve the right to treat the booking as cancelled. Appropriate cancellation charges may be levied . Clients/Agents booking within four (4) weeks of tour departure are required to pay the full amount immediately to secure the reservation.

Accepted Currencies – Payment for your safari can be done in US Dollar, by international bank transfer or Cash.

Cancellations – Cancellation should be made in writing (email is acceptable, if receipt is confirmed by Visa Expeditions). The 50% deposit is non-refundable, and cancellation will also incur the following charges:

More than 60 days before the start date – deposit. 29 to 60 days before start date – 50%
15 to 28 days before start date – 75%
14 days or less – total cost of tour.

Our quoted prices are based on current exchange rates and on-the-ground prices. The price of a tour may vary at any time before Visa Expeditions have accepted a booking from you, and they may be varied after your booking is made. Should the variation be in excess of 10% of the holiday cost the client will have the right to a refund of all money paid.

During your holiday

Adventurous activities – Client’s bookings are accepted on the understanding that the client appreciates the possible risks inherent in travel, in particular when undertaking adventurous activities such as trekking, climbing and diving.

Illness during safari – The Company undertakes to run the Safari at the agreed itinerary and price. The clients hereby agreed to abide to the same. If a client becomes unwell after departure, no refund will be given.

Climbing & Trekking – Please note that for clients undertaking a trekking itinerary we offer first class guides, porters and safety equipment. If you are obliged to abandon an activity due to your own physical limitations there is no refund of park fees and any additional accommodation and/or transport fees are not the responsibility of Visa Expeditions.

Disclaimer Form – You may be asked to sign a Disclaimer Form prior to participation in certain activities.

Alterations – We regret that no credit or refund is possible for any unused services provided in the cost of your holiday. If during your time abroad, you decide to alter your travel arrangements this will be your own responsibility and Visa Expeditions cannot be held responsible for any extra costs or difficulties that may arise with onward travel as a result of such alterations.

Delays – In the unlikely event of a delay at the airport for your international or domestic flight, arrangements for meals, overnight accommodation etc. should be met by your airline. If you are joining a group and flight delays mean that additional transfers etc. are required to enable you to join the group, these costs must be met by you – the client and should later be re-claimed under your insurance policy if applicable.

Vehicles – In case of major breakdown a rescue vehicle shall be sent immediately – minor problems that can be repaired will be dealt with to allow the safari to continue.

Luggage – The Company shall not be responsible for any loss or damage to baggage.

Promotional Photography

Visa Expeditions reserves the right to take photographs during the operation of any program or part thereof and to use them for promotional purposes. By booking a reservation with Visa Expeditions, program members agree to allow their images to be used in such photographs. Program members who prefer that their images not be used are asked to identify themselves to their travel program escort at the beginning of their program.

AUTHORITY ON TOUR

The decisions of the Company’s guide/driver on tour shall at all times be final and binding.

The client must at all times comply with the laws, customs and foreign exchange regulations of all countries visited.

FORCE MAJEURE

Unforeseen circumstances including but not limited to war, mechanical breakdowns, weather, riots and other unforeseen reasons beyond the control of the Company may cause delays or alterations to the tour. The Company shall not be held liable in any way for any of these possible occurrences or any consequences, which may arise as a result of these.

RISK

The client accepts that all tours are of an adventurous nature and involve an element of personal risk. Neither the Company nor any of its agents can be held liable in any way for any injury, loss of life or damage to property, howsoever caused. The client hereby indemnifies the Company and will hold the Company, its agent, assigns and servants harmless from any such claim.

The client accepts full responsibility for all risks involved.

SPECIAL NEEDS

Travelers with special needs (i.e. physical challenges or disabilities) must communicate their special needs requirements at the time of the booking. Whilst every care is taken to provide for all your special needs made known to us prior to the tour, we obviously require full details of any required medication, medical conditions, and/or disabilities and capabilities to ensure these

needs are accommodated. We will communicate with you in case a special need request cannot be ensured. No responsibility can be taken for catering for any conditions or requirements not communicated to us at the time of booking,

LAW

The Company’s contract will be governed by and constructed in accordance with the law of Tanzania. Accordingly, each party irrevocably submits to the jurisdiction of the Tanzania courts to settle any dispute or matter arising under this contract.

Useful Information

IMPORTANT – Please check your flight tickets against your itinerary to ensure all details are correct. In particular, you should check the spelling of names on flight tickets and the departure times of flights.

PASSPORT – Please check your passport is valid for at least six months from the date of entry, and with at least two blank pages.
